What we collect
- Identity and contact details: name, date of birth, address and postcode, phone number, email address and National Insurance number
- Eligibility evidence: nationality, passport or ID document, immigration status or share code, residency evidence, employment and wage evidence where a funded place requires it
- Qualification records: existing certificates and CSCS cards, enrolment forms, assessment plans, observation reports, answers to knowledge questions, assessor feedback and results
- Portfolio evidence: photographs and videos of you carrying out work, witness testimonies and site documents
- Communications with us, including emails and messages
Why we use it and our lawful basis
- To enrol you, assess you and claim your certificate – necessary for the contract with you to deliver the qualification
- To check and evidence eligibility for government-funded training, and to keep the records that awarding and funding bodies require – necessary to meet the funding and awarding body rules that apply to your place (legal obligation and public task)
- To quality-assure assessments and deal with appeals, complaints and malpractice – legitimate interests
- To keep learners safe (safeguarding) – legal obligation
- To use your photographs or videos for anything other than your portfolio, for example marketing – only with your consent, which you can withdraw at any time
Who we share it with
- Awarding organisations that register and certificate you, such as NOCN and Pearson (Edexcel), including their external quality assurers
- Southbank College, the funding provider, and government funding bodies such as the Department for Education, where your place is funded
- Our assessors and internal quality assurers
- Google, which provides the secure Google Drive storage and email we use to hold learner records
- Safeguarding authorities or the police, where the law requires it
We do not sell your data.
How long we keep it
We keep learner records, including assessment records and portfolios, for 6 years. After that, records are securely deleted.
Where it is stored
Your records are held in secure Google Drive storage, with access limited to staff who need it. Google may store or process data outside the UK; where it does, the transfer is covered by the safeguards required under UK data protection law.
Your rights and complaints
Your data protection rights are listed above under “GDPR Data Protection Rights”. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, contact info.tendean@gmail.com. We will reply within one month.
